ASSOCIATION MEDIA DAY

For leagues, clubs, and studios looking for a streamlined, high-volume photo experience

• $25 per athlete
• Minimum 50 athletes
• 15 minutes per grouping

Includes:

• Individual portraits + team photo (with association logo and team name)
• Full digital gallery (all images included)
• Custom print orders are available upon delivery of the digital gallery. Images may also be downloaded for personal printing; please note that print quality cannot be guaranteed when using third-party printers.
• Full content release (for social, promos, and team use). Please note: commercial use requires individual permission, and consent should be obtained before sharing images publicly.

Requirements - The Nitty Gritty

Team rosters must be submitted in advance (athlete names grouped by team or division)

Payment can be coordinated in one of two ways:

1 — Association Payment (Recommended)

• Associations may collect payment and submit one lump sum on behalf of all athletes for the most efficient experience

2 — Individual Payment

• Forms are required for contact info so we can deliver your images
• Individual payment may be collected on photo day; however, this may slow down the process and impact overall timing. **To ensure your shoot goes smoothly - please have a point person for each group collect payment from players prior to better make us of your time slot**
• Unique codes are assigned to each athlete for accurate organization and delivery
• Codes are distributed once payment is confirmed
• Teams must be ready at their scheduled time
• Only athletes with a confirmed package purchase will receive access to digital images
• All images are protected by copyright and are licensed upon purchase. Any unauthorized use, reproduction, or distribution is strictly prohibited
• Athletes who miss their scheduled time may not be guaranteed individual photos
• Athletes without completed payment or form prior to photo day may be subject to an additional administrative fee, as they will not be pre-assigned a code and require manual processing.

Delivery & Ordering:

Galleries are delivered within 3–4 weeks after photo day

Additional:

• A designated photo area must be confirmed in advance, as it directly impacts equipment setup and image quality. Outdoor locations without proper coverage will rely on natural light and are subject to weather conditions. This may lead to delays, rescheduling, or potential cancellation based on scheduling availability
• Commercial use requires written permission and photo credit
• Custom digital compositing to include an absent athlete in the team photo — $80 (additional fee) (Must be requested prior to photo day)
• Ideally for multi-day bookings, a secure, lockable space is required to allow equipment to remain set up and safely stored between days. Additional days may incur travel and setup fees, as applicable.
